Job Summary/Basic Function:

This position performs the majority of tasks analyzing and evaluating user software and system needs. Handles standard maintenance activities and trouble shoots common service requests.

Level Scope:

Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgement and decision making. This level is typically focused on self development. Requires theoretical knowledge through specific education and training.

Essential Functions:

60% of Time the Management Systems Coordinator 1 must:

  • Run and monitor daily processes; develop strategies and methods for automated system improvements.
  • Identifies test case criteria; reviews, analyzes and documents test results and recommends changes to achieve desired results. Review application systems modules and documentation to ensure applications are properly developed and implemented into production according with department standards and customer requirements
  • Respond to end-user inquiries by providing support and assistance in the definition and resolution to problems. Be able to communicate with staff and team members to include them in the solution. Monitors adherence to protocols and user manual instructions; train users when new features are added.
  • Create and design queries of data, collaborate with other team members and users to identify problem areas and be proactive in recommending solutions to problems.

35% of Time the Management Systems Coordinator 1 must:

  • Manage the PeopleSoft operating system
  • Setup, maintain, enhance, and modify financial aid system. Research and evaluate delivered functionality and compare potential modifications to determine best course of action to achieve optimal results.
  • Plan and direct modifications from idea generation, interviewing users to identify needs, designing solutions, creating specifications, and soliciting resources from EAS, testing and troubleshooting, planning implementation, and training users on functionality. Prioritize systems needs based on an evaluation of resource requirements and impact.
  • Review new functionality contained in patch sets, fixes, and regulatory releases. Communicate and negotiate installation dates with other PeopleSoft users.
  • Assist with the direction of upgrade projects for the financial aid office when upgrades are released. Identify resource needs, allocate time and collaborate with system staff. Explore new functionality, and develop plans for successful project completion.
  • Collaborate and negotiate with functional leads of other offices to ensure financial aid needs are considered on issues that impact multiple offices.
  • Respond to functional user inquiries by providing support and assistance in the definition or the resolution of the problems for application-specific staff,
  • Provide solutions and/or work with technical staff to resolve system problems.
  • Develop network of contacts with whom to consult when evaluating or analyzing systems issues
    Assist with oversight and management of other automated systems, both internal and external.
  • ELM for automated processing of alternative loans.
  • Perceptive for imaging/document management.
  • Common Origination and Disbursement (COD) loan processing & grant information with U.S. Department of Education.
  • National Student Loan Data Systems (NSLDS) to obtain aggregate loan information.
    Institutional Student Information Record (ISIR) Analysis Tool. Student Aid Internet Gateway (SAIG) mailbox.
  • Blackbaud for scholarship application and administration
    Research, interpret, and understand federal, state and university policies, rules and regulations
  • Interpret changes in policies and determine impact to systems and processes.
  • Training and Documentation
  • Conduct training on system functionality.
  • Serve as resource to staff to answer questions about the system operation.
  • Develops procedures, user manuals, and document requirements for end-users

5% Duties as Assigned

Knowledge, Skills, Abilities:
  • Ability to adapt to changing workplace technology
  • Highly organized, able to work effectively across organizational boundaries
  • Experience providing user level support for an automated processing system and web-based applications
Minimum Qualifications:

Bachelor’s Degree or equivalent progressively responsible professional experience.

Salary and Benefits:

Salary ranges from $40,414 to $42,660 depending on experience.
