Job Summary/Basic Function:

Our ideal candidate is an organized, independent professional with excellent communication skills and the ability to manage multiple tasks and deadlines. They will contribute to the success of our department by managing academic program operations and supporting student and faculty initiatives.

Here are a few ways you will make an impact in our department:

  • Manage all aspects of the undergraduate curriculum, including course scheduling, curriculum submissions, and providing support for program assessment to ensure continuous improvement.
  • Coordinate the admission process for upper-division students, maintain accurate student records, and generate reports on enrollment trends and other academic metrics.
  • Collaborate with the student advisory board, undergraduate committee, and student affairs committee to support department initiatives that enhance the student experience.
  • Plan and manage department events such as graduation celebrations, seminars, and other student-facing activities, ensuring successful execution and strong student engagement.
  • Develop and maintain promotional materials for the undergraduate program, including timely updates to the department website.
  • Facilitate undergraduate hiring requests and lead the recruitment and training of peer educators and graders to support course delivery.

Level Scope:

Fully competent and productive professional contributor who applies acquired job skills, policies, and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity. Works independently with general supervision; exercises judgment within defined guidelines and practices to determine appropriate action. May provide guidance and assistance to entry level professionals and/or support employees.

Essential Functions:

60% of Time the Academic Programs Coordinator must:

  • Provides administrative support for the mechanical engineering department
  • Process hiring requests and troubleshoot payroll issues
  • Analyze data, generate and/or assist with, and disseminate periodic reports (monthly and semester) such as overall undergraduate enrollment, enrollment for the department-owned certificates and minors, etc.
  • Support the Mechanical Engineering Student Advisory Board
  • Recruit and train graders and peer educators
  • Coordinate the department seminar
  • Manage department social activities (graduation celebrations and other student-facing activities)
  • Participate in and provide support to the department's undergraduate and student affairs committees
  • Planning and executing assigned projects and academic operations within the Mechanical and Biomedical Engineering Department
  • Maintain undergraduate student files/records

35% of Time the Academic Programs Coordinator

  • Manage the Mechanical Engineering admission to upper division process
  • Manage undergraduate program curriculum changes
  • Create the department course schedule each semester and process schedule changes
  • Maintain the department website
  • Create promotional or marketing materials for our undergraduate program
  • Provide support to the department manager for assessment activities
  • Manage textbook process

5% Perform other duties as assigned

Knowledge, Skills, Abilities:

● Ability to work independently and use reference manuals to develop proficiency with software or computer systems.
● Good organizational, written and verbal communication skills in the preparation and presentation of results.
● Good interpersonal skills
● Able to effectively prioritize and work on multiple tasks with concurrent deadlines and demonstrate excellent time management skills and efficiency.

Minimum Qualifications:

● Bachelor’s Degree and at least 2 years of professional experience or equivalent relevant experience.

Preferred Qualifications:

● Experience with academic program coordination and student support.
● Strong organizational, communication, and time management skills.
● Experience with event planning or project management.
● Knowledge of university systems for course scheduling, academic reporting, or student records management.
● Proficiency in designing promotional materials for academic programs, including website content management.
Salary and Benefits:
