Job Summary/Basic Function:

This position is the first point of contact for the Registrar’s office for the public, campus partners, prospective and current students, and alumni. The primary purpose of this position is to provide customer service and assistance in a professional and friendly manner via daily email, phone, and face-to-face interactions while accepting and processing registration/records related forms.  Our customer service team counsels, assists, and trouble-shoot with students, faculty and staff relative to the Registrar's office procedures and university policies.  

Department Overview:

The Office of the Registrar is the hub of the University. We provide assistance with transcripts, registration and course scheduling, transfer credit and graduation evaluation, determination of Idaho residency for tuition, and catalog information.

This is a part-time, benefit-eligible position that will be working 20 hours per week. 

Level Scope:

Applies basic skills while developing some specialized skills in procedures, operations, techniques, tools, materials, and/or equipment appropriate to area of specialization; performs routine and/or repetitive tasks; limited decision making required; generally works under close supervision; has no or limited experience; work is performed from within specific limits of established procedures and/or defined instructions.

Essential Functions:
  • Manage phone queue general office mail account and walk-in traffic.
  • Advise, interpret, research and troubleshoot registration questions.
  • Assist and educate students in the use of the Student Center in myBoiseState.
  • Assist and educate faculty, staff, and advisors in the use of the Faculty Center in myBoiseState.
  • Maintain a working knowledge of curriculum, class scheduling, and class set-up to assist with registration questions.
  • Accept and process registration related and student update forms.
  • Maintain a working knowledge of the Academic Advising Report (AAR), Degree Tracker, and other registration tools that assist in registration.
  • Maintain a working knowledge of the curriculum and scheduling process, University Foundation courses, Idaho Residency, the Academic Appeal process, FERPA, and the complete withdrawal process.
  • Manage multiple computer software programs (i.e. PeopleSoft, Perceptive Content, Google Apps, Cisco, Capture Perfect) to assist in researching registration questions.
  • Communicate registration information and provide appropriate answers in an efficient, inclusive, thorough, and friendly manner.
  • Interpret laws, policies, and potential impact on a student’s record, such as FERPA and the Idaho Residency statute.
Knowledge, Skills, Abilities:
  • Word processing skills
  • Ability to perform several tasks simultaneously while having continual interruptions
  • Knowledge of using database software to store, retrieve, and compile information in a report format.
Minimum Qualifications:

Sufficient speech and hearing acuity to perform customer service work. Experience: explaining policies, procedures, or rules; handling complaints and upset individuals; business telephone etiquette.

Preferred Qualifications:

  • Accuracy and excellent attention to detail
  • Typing/keyboarding skills
  • Comfortable working on a computer
  • Excellent communication skills (listening, speaking, writing)
  • Experience analyzing information and researching a variety of complete sources to identify and resolve problems and issues
  • Experience interpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs
