Job Summary/Basic Function:

Manage the scheduling, event coordination, and calendars for multiple campus venues and facilities using a computerized reservation system.

Department Overview:

Student Union Events is a dynamic team supporting the student union's mission and the greater mission pertaining to events and programming on campus. We serve populations across campus and beyond including students, departments, and community organizations and companies. We serve as venue experts and event process and protocol liaisons to event organizers across campus. As a key part of the Student Union, our support also goes beyond events to create safe and welcoming spaces for students to gather.

Level Scope:

Fully competent and productive professional contributor who applies acquired job skills, policies, and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity. Works independently with general supervision; exercises judgment within defined guidelines and practices to determine appropriate action. May provide guidance and assistance to entry level professionals and/or support employees.

Essential Functions:

60% of Time the Events Coordinator will:

  • Interpret and/or explain policies and procedures as pertaining to the designated venues.
  • Conducts pre-event planning and coordination meetings with clients and will also serve as an Event Manager as they are the direct contact between the client and the facility.
  • Coordinates, collects, organizes and distributes information from event and conference planners and staff.
  • Schedules all public meeting facilities using scheduling software.
  • Coordinates conference services with campus departments such as University Dining, Athletics, FO&M, Campus Rec, Morrison Center, Security, Yankee, and Parking.
  • Meets with clients to determine needs and provide technical assistance in the planning stages of each conference.

35% of Time the Events Coordinator will:

  • Coordinates mainly student organization events and event services for the Student Union, Special Event Center, Alumni and Friends Center, Christ Chapel, outdoor reservable spaces and other venues across campus.
  • Provides virtual and hybrid event coordination, management and technical assistance for various events utilizing our available virtual platforms and tools.
  • Provides in-person event management at VIP and complex events, serving as the primary onsite liaison between clients, facilities, event service providers, and student event management staff
  • Determines and applies appropriate rates for space rental and services using multi-tiered fee schedules for facilities, goods and services resulting in a client estimate for reservation fees and charges
  • Prepares and/or processes billing for services committed and rendered
  • Receives and resolves client complaints regarding event service providers, personnel and services rendered such as catering, operations, audiovisual, transportation and parking, security and facilities, operations and maintenance.
  • Sustains working relationships with clients across campus to ensure the ability to produce high level events
  • Coordinates and facilitates monthly team celebrations
  • Participates in regular team meetings, training, and celebration events

5% of Time the Events Coordinator will:

  • Perform other duties as assigned.
Knowledge, Skills, Abilities:
  • Knowledge of principles and processes for providing customer and personal services
  • Experience of event scheduling and planning
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
  • Talking to others to convey information effectively
  • Attention to detail
Minimum Qualifications:

Bachelor’s Degree and 2 years’ experience or relevant professional experience.
