Job Summary/Basic Function:

This position manages day-to-day activities to ensure the department is running efficiently and meets the expectations and needs of customers and staff. Assists with the management/administrative aspects and has operational control of a range of projects. May work on assignments related to project development and management initiatives, internal operating procedures, business processes and policies.

Department Overview:

Reporting to the department chair, this position serves a critical role for the Electrical and Computer Science Department in the College of Engineering (COEN). This position provides a wide level of duties that includes confidential and complex administrative tasks to support both mission critical services and the department’s growing research environment. This position interacts daily with faculty and staff and must be able to work with a diverse student population. This position will work as part of a collaborative team to create a positive and welcoming climate and exceptional customer service.

Level Scope:

Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision making. This level is typically focused on self development. Requires theoretical knowledge through specific education and training.

Essential Functions:

60% of Time the Position must:
• Responsible for budget reporting and recordkeeping to include purchasing support, budget reporting and account reconciliations.
• Forecast and review department lab fees, professional fees, and senior design accounts.
• Provide assistance to faculty regarding their research locals and startup accounts.
• Responsible for various processes and liaison with other units on campus such as Human Resources, Purchasing, Finance and Administration, and the COEN Business Office
• Manage travel, expense reimbursements, and purchasing processes for the department.
• Support graduate assistantship hiring and working with the PhD Coordinator and Research Administrator to ensure expenditures are appropriately allocated.
• Responsible for appropriate pcard use and reconciliation of monthly pcard statements following university guidelines.

35% of the Time the Position must:
• Supervision and training of office staff and student employees; may lead efforts to recruit new employees with the goal of attracting and retaining qualified individuals.
• Respond to inquiries and resolve issues by interpreting and applying departmental and university wide policies and procedures.
• Work with COEN Research Administrators to support departmental principal investigators (PIs) with hiring and related purchasing in compliance with federal and grant related regulations.
• Provide administrative support as needed for departmental committees and functions including meeting preparation, minutes, information sharing, etc.

5% of Time the Position must:
• Coordinate special projects and process improvements.
• Perform other duties as assigned.

Knowledge, Skills, Abilities:

• Excellent written and verbal communication skills.
• Strong interpersonal skills and ability to interact effectively as a team member and work collaboratively with faculty and staff.
• Ability to work independently and anticipate tasks making sound decisions and recommendations for the program.
• Ability to adapt and be flexible to changing assignments and multiple priorities with attention to detail and deadlines.
• Ability to maintain confidentiality.
• Ability to take the initiative in developing new methods, procedures, and approaches.
• Ability to efficiently follow and implement policies and procedures.
• Must be self-motivated and able to perform a wide variety of administrative duties with little or minimal supervision.
• Experience researching and analyzing financial and other reports and compiling information.
• Proficient in using Microsoft Office (Work, Excel, and PowerPoint).

Minimum Qualifications:

● Bachelor's degree or equivalent experience

Preferred Qualifications:

● Previous experience in a university environment preferred.

Salary and Benefits:
