Job Summary/Basic Function:

The primary purpose of this position is to learn the transfer and graduation evaluation processes, including creation and maintenance of transfer equivalencies, determination of graduation requirements, and to work with students and advisors during these processes.

Department Overview:

The Office of the Registrar is the hub of the University. We assist with transcripts, registration and course scheduling, transfer credit and graduation evaluation, determination of Idaho residency for tuition, and catalog information.

Essential Functions:

The primary purpose of this position is to learn the transfer and graduation evaluation processes, including creating and maintaining transfer equivalencies, academic adjustments, and credit for prior learning.

  • Transfer credit evaluation & Evaluation of nontraditional credit:
    • Determination of transfer courses acceptability and equivalency to Boise State University courses based on articulation agreements, our grading and repeat policies and accreditation status, understanding and applying ACE Guide rules and Boise State University policies for acceptance of Military Credit and all forms of nontraditional credit allowed by the university.
  • Graduation evaluation:
    • Determining requirements completed and those to be completed for graduation based on the academic advisement report, notifying students of graduation status, reviewing requests for waiver or adjustment of academic requirements, and final review of the academic advisement report to ensure students have fulfilled requirements, thus maintaining the integrity of the degree.
  • Creation and maintenance of transfer equivalency rules:
    • Determination of transfer equivalency for lower-division courses based on current transfer policies, creation of upper-division rules in TES based on department recommendations, and updating rules by reviewing current curriculum as new catalogs are uploaded to TES .
  • Technical Assistance:
    • Provides information on policies and procedures relating to transfer credits, graduation, non-traditional credits, and academic waivers to faculty, staff, and students to ensure accurate information is reported to the campus community.
    • Updates graduation dates, catalog years, incrementing career numbers, term activating and assigning registration appointment times, repeat code clean-up, and processing files in Perceptive Content.

Responsibilities and Impacts:

  • The TRS2 is responsible for the determination of transfer courses' acceptability and equivalency to Boise State University courses and the determination of how policies should be interpreted based on articulation agreements, our grading and repeat policies, and accreditation status.
  • The TRS2 has been granted authority by the Provost Office to determine transfer equivalency rules for all lower-division courses without approval from departments. This requires an in-depth knowledge of Boise State curriculum for all departments. Transfer rules are posted on our website and are used by Admissions for recruiting and campus-wide for advising. The consequences of error in this process may result in inaccurate advisement of transfer students or damage to the reputation of Boise State during recruiting tours.
  • The TRS2 is also responsible for the final review of the degree progress report to ensure students have fulfilled requirements, thus maintaining the integrity of the degree. The consequences of error in this process may result in the delay of a student’s graduation or the erroneous posting of a degree.
Knowledge, Skills, Abilities:
  • Some knowledge of supervisory practices and data management.
  • Experience: conducting sensitive fact-finding interviews; storing, retrieving, and compiling information in a report format using database software and using spreadsheet software.
Minimum Qualifications:

Experience: monitoring record systems to identify and correct errors; interpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs; analyzing information and researching a variety of sources to identify and resolve problems or issues; dealing with individuals from varying cultural and socio-economic backgrounds in stressful situations; entering and retrieving data using a computerized record system; composing and proofreading business correspondence.

Preferred Qualifications:

  • Bachelor's degree preferred, but not required.
  • Experience working with Google Workspace, Microsoft Excel, and database management systems.
  • Previous work experience in higher education.
