Job Summary/Basic Function:

Reporting to the Department Manager, this position provides a full-range of administrative support activities to support mission critical services to students and to the Civil Engineering Department.

Level Scope:

Applies skills and job knowledge in area of specialization; may adapt procedures, operations, techniques, tools, materials, and/or equipment to meet needs of area of specialization; may work on non-routine tasks; resolves issues/makes working decisions within area of specialization or responsibility with minimal supervision.

Essential Functions:

60% of Time the Administrative Assistant 2 must:

  • Coordinate administrative activities which require frequent contact with faculty, staff, students, the community, other agencies and campus officials. May attend meetings to relay and collect information
  • Responsible for internal and external communications (including main website content and social media), and events support
  • Write, edit and coordinate distribution of information to market, promote and increase the visibility of initiatives and accomplishments of the department.
  • Develops, organizes and executes public relations events for the department.
  • Conducts pre-event planning and coordination meetings with department members and will also serve as the event coordinator. Supports the outreach efforts of the Department, updating outreach calendar events. designing, printing & distributing flyers, attending and assisting faculty members at events, etc.
  • Day-to-day department support including but not limited to general reception, collecting and distribution mail, photocopying, and acting as the point of contact for internal and external clients.
  • Exercise discretion and independence in applying policies and procedures.
  • Leverage analytics and reports to determine effectiveness and seek continual improvements of marketing and communication initiatives.
  • May supervise student support staff or have leadwork responsibilities.
  • Supports the outreach efforts of the Department, updating outreach calendar events. designing, printing & distributing flyers, attending and assisting faculty members at events, etc.
  • Responsible for appropriate use of p-card transactions and reconciliation of monthly statements in compliance with department specific, college, and university policies.
  • Submit and reconcile expense reports.

40% of the Time the Position must:

  • Arranges all aspects of travel (flights, accommodations, and transportation) for faculty, staff, and students as needed.
  • Perform other duties as determined by department needs.
Knowledge, Skills, Abilities:
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
  • Knowledge of various social media platforms and services to publish social media content
  • Good knowledge of website design and publishing
  • Some knowledge of supervisory practices; bookkeeping; financial software; state and local government organization structure, functions, and decision-making processes.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to interact effectively as a member of a team and work collaboratively with a wide range of constituencies in a diverse community.
  • Ability to analyze, interpret, and apply university policies and procedures.
  • Excellent organizational skills and superior attention to detail.
  • Ability to maintain confidentiality and discretion.
  • Proficient with Microsoft Office Suite.
Minimum Qualifications:

Good knowledge of: office support functions including word processing; filing; composing a variety of business documents; reception; and researching, compiling, and summarizing data for reports.

Experience: in interpreting, applying and explaining complex information such as regulations, policies or services; independently solving problems/performing liaison activities in a work setting; coordinating activities requiring complex arrangements.
