Job Summary/Basic Function:

The position will oversee the daily operations of the pantry, including budget management, product ordering, coordinating food drives, volunteer management, and partnership development. It will also ensure the maintenance of pantry infrastructure, promote philanthropic opportunities, and lead employment training initiatives. A key responsibility will be to implement marketing and communication strategies to raise awareness about the Pantry and student food insecurity, ensuring that services for under-resourced students are accessible and visible.

Additionally, the Coordinator will assist with event, programming, and project management for the Office of the Dean of Students, emphasizing the streamlining of processes and budget management for a successful execution.

This is an internal opportunity open only to current, regular employees of Boise State University.

Level Scope:

Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision making. This level is typically focused on self development. Requires theoretical knowledge through specific education and training.

Essential Functions:

60% of Time the Project and Operations Coordinator must:

Operational Oversight

  • Coordinate food product procurement (orders, drives, donations and inventory management). Manage the end-to-end procurement process, including placing orders, tracking and scheduling deliveries, resolving discrepancies, and research on advantageous sourcing. Ensure compliance with procurement policies, and required reporting.
  • Develop and maintain internal processes for tracking inventory, restocking, and inventory rotation. Maintain comprehensive program status reports (users, volunteers, and donors).
  • Oversee and expand food drives and service learning projects. 
  • Recruit, schedule and train volunteers.
  • Serve as backup for donation and order pick-ups, and pantry student employee shift coverage.
  • Coordinate with maintenance staff or external vendors to address and resolve facility issues and preventative maintenance promptly.

30% of Time the Project and Operations Coordinator must:

Project Management

  • Oversee and track project plans.
  • Establish a comprehensive project, event and programming calendar for the various units under the Office of the Dean of Students.
  • Execute various project tasks as necessary to keep the project on track and aligned with its objectives.
  • Formulate and refine effective project strategies that guide the team in successfully navigating challenges and achieving desired outcomes.
  • Compiling statistics and reports for department reports, presentations and/or meetings, including preparing graphs, charts, and visual layout.

10% of Time the Project and Operations Coordinator must:

Perform other duties as assigned.

Knowledge, Skills, Abilities:
  • Exercise discretion and independence in applying policies and procedures.
  • Strong organizational skills are important to help manage time and resources for the areas of responsibility. 
  • Excellent verbal and written communication skills and customer services related skills.
  • Significant computer knowledge and the ability to learn a variety of software applications. 
  • Self-directed and strong multi-tasking skills as the areas of responsibility are diverse.
  • Ability to address confrontational situations in a respectful, diplomatic fashion will be vital for this position.
  • Interpreting, applying and explaining complex information such as regulations, coordinating events, policies or services.
  • Ability to research, compile, and summarize data for reports.
  • Experience in financial record-keeping.
  • Interest in working in a collaborative and supportive team environment.
Minimum Qualifications:

Bachelor’s Degree or equivalent relevant professional experience.

Preferred Qualifications:

Minimum of high school diploma with 4 years of similar work experience. An Associate or a Bachelor degree is preferred.
