Job Summary/Basic Function:

The Manager of Division Special Events and Protocol will work with the Sr. Director of University Special Events and Protocol to strategize, coordinate, plan, execute and produce brand-level events for Vice Presidents and Divisions. This position will work with a cross-functional team of creative, event, vendor, venue and leadership professionals throughout the event production process. This role is critical to maintaining relationships with divisions across campus and to producing experiential events for university partners that engage stakeholders with the Boise State brand. The Manager of Division Special Events and Protocol will be responsible for coordinating the event production process from ideation through implementation including scheduling events, running event meetings, maintaining creative briefs that list all strategies, deliverables and event logistics, serving as the day-of event producer and debrief events to continue to provide best product and outcomes. This role will enter and coordinate deliverables from creative briefs into the project management system and connect with stakeholders throughout the creative process to track progress and approval of each deliverable in order to meet deadlines. This position will manage event business operations including working with vendors, budget reconciliation, and project management and oversee volunteer/employee activity.

Level Scope:

Provides immediate supervision to a unit or group of operational or technical employees. Sets and delegates day-to-day tasks to achieve operational objectives. A portion of time may be spent performing individual tasks related to the unit; however, supervisory activities must constitute a primary part of the job. Supervises unit operations to ensure compliance with departmental or campus policies, procedures, and defined internal controls. Problems typically involve a single area, process or constituent group. Ensures accountability and stewardship of campus resources (operational, financial, and human) in compliance with departmental standards and procedures.

Essential Functions:

80% of the time the manager will:

  • Assist the Sr. Director of University Special Events and Protocol with all aspects of event planning and management.
  • Assist the Sr. Director of University Special Events and Protocol with planning, managing and executing campus division events.
  • Lead and advise on existing and current programs in divisionals that include support with national conferences, workshops and ceremonies.
  • Coordinate facility selection, contract negotiations, food and beverage selections, audio/visual services, guest speakers, transportation, décor, entertainment, etc.
  • Contribute to creative briefs, marketing plans and other guiding documents that set the goals and objectives for each event.
  • Generate guest lists as determined by the event host and assist with coordinating calendar updates.
  • Work within the Office of Communications and Marketing and with vendors to coordinate the design, production and distribution of invitations, printed programs and other promotional materials.
  • Work with team members from the Office of Communications and Marketing to advertise, promote and market university special events on campus and to the community.
  • Assist with guest list management and other support services.
  • Utilize project management tools/systems used by the university to maintain effective communication, keep deadlines and adhere to processes when producing events.

10% of the time the manager will:

  • Research, collect and record university protocol models when new or existing events and programs are developed and delivered.
  • Serve as liaison with divisions and departments from across campus, as well as other higher-ed institutions and government agencies.

5% of the time the manager will:

  • Perform other duties as assigned.

Knowledge, Skills, Abilities:

  • Produce high-quality University events.
  • Experience in event planning and production with demonstrated results.
  • Responsible for upholding the university brand when producing events and aligning with the strategic goals of the university.
  • Must be able to work independently, make decisions and problem solve.
  • Detail-oriented with ability to manage multiple projects simultaneously, against deadlines.
  • Knowledge and experience using Microsoft Office, databases, calendars, project management systems and Google suite.
  • Able to work outside of normal work hours: 8 a.m.--5 p.m..
  • Strong writing and proofreading skills.
  • An ability to meet long-term project deadlines while adapting to immediate demands.
  • A proven track record of time management and project leadership.
  • Experience using an email marketing database or other similar platforms for targeting specific audiences.
  • Experience establishing long-range objectives, and specifying strategies and actions to achieve results.
  • High level of collaboration, communication and teamwork.

Minimum Qualifications:

Bachelor’s Degree or equivalent experience and 2-3 years experience in an event-professional role.

Preferred Qualifications:

  • Experience working in events with high visibility or higher education.
  • Master’s degree and 5-7 years of experience.

Salary and Benefits:
