Job Summary/Basic Function:

The Programs & Projects Coordinator plays a critical role in supporting and optimizing marketing processes, systems, and campaigns to drive business growth. This role supports assessment and student success efforts including, documentation, reporting, coordination of support efforts, and collaborating with campus partners. This position is responsible for managing marketing technology tools, ensuring data accuracy in customer relationship management (CRM) systems, coordinating campaign execution, and analyzing performance metrics. The role requires strong project management skills, attention to detail, excellent written and verbal communication skills, ability to think analytically and critically.

Department Overview:

Through an expansion of workforce development and use-inspired research, the Institute for Microelectronics Education and Research (IMER) will help tech industries solve modern challenges and lead innovation in microelectronics. IMER has been created to enable engagement in a wide range of opportunities across the campus. Boise State University’s interdisciplinary approach brings together engineering, science, education, and business. The Institute will provide a central location for university researchers and educators to pursue relevant funding and to engage with industry, state, and federal agencies in microelectronics and will also serve as a central point of contact for external organizations to engage with the university, provide input on their needs, and gain access to students in desired disciplines. It will provide the mechanism to align university resources with the needs of industry and government agencies for the greatest impact.

Level Scope:

Fully competent and productive professional contributor who applies acquired job skills, policies, and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity. Works independently with general supervision; exercises judgment within defined guidelines and practices to determine appropriate action. May provide guidance and assistance to entry level professionals and/or support employees.

Essential Functions:

60% of Time the Programs & Projects Coordinator must:

  • Plan, manage, budget, and support implementation of programs and activities including faculty development workshops and consultation offerings
  • Coordinate assessment documentation and reporting for faculty and student support activities
  • Provide campus-wide technical support and assistance for development and maintenance activities
  • Develop and implement a communication plan (to internal and external audiences) including marketing materials, social media, and reports related to program initiatives
  • Conduct research and summarize data to inform decision making, evaluate program effectiveness or alternatives, and to inform program development
  • Maintain and update website with timely information, point of contact for upgrades and web compliance
  • Ability to work in a fast-paced environment and manage multiple priorities
  • Collaborate closely with a variety of stakeholders, both internal and external, on all aspects of projects, including planning, gathering specifications/requirements, coordinating content, tracking progress of project, approvals, timelines, and budget

35% of Time the Programs & Projects Coordinator must:

  • Coordinate administrative activities which require frequent contact with executives, the public, other agencies and campus officials. May attend meetings to relay and collect information
  • Responsibility for financial record keeping including monitoring budgets, purchasing, preparing, and submitting financial transactions reports
  • Coordinate travel arrangements for IMER personnel, including expense reporting, as needed
  • Assist in coordinating department events, including reservations, timelines, and refreshments
  • May be responsible for calendar management of the senior executive director in the department
  • May be responsible for ensuring that assignments given to other staff are completed and timelines are met. May supervise students and staff.

5% of Time the Programs & Projects Coordinator must:

  • Performs other duties as assigned. Nothing in this job description restricts management’s right to assign or reassign duties and responsibilities to this position at any time
Knowledge, Skills, Abilities:
  • Excellent written and verbal communication skills
  • Ability to think analytically and critically
  • Experience planning and organizing projects and delegating work
  • Good knowledge of: creative directions and design best practices; developing and implementing communication and marketing plans, and project coordination.
  • Experience: implementing marketing and advertising plans across various platforms including social media as well as computer literacy using creative suite software.
  • Ability to compose official correspondence, reports, research papers and other complex documents; providing administrative support to an administrator, director or senior staff member; designing manual and automated record management systems.
  • Some knowledge of supervisory practices; bookkeeping; financial software; state and local government organization structure, functions, and decision-making processes.
  • Ability to generate, cultivate and maintain business relationships with a diverse set of stakeholders and demonstrate strong communication skills.
  • Must be able to work independently, make decisions and problem solve.
  • Ability to compose written material with a succinct message and free of spelling or grammatical errors.
Minimum Qualifications:

Bachelor’s Degree and 2 years of professional experience or equivalent relevant experience.
