Job Summary/Basic Function:

The Talent Acquisition Associate delivers tailored HR services to meet the unique staffing and recruitment needs of our internal clients. They manage high-volume background checks, coordinate complex aspects of the hiring process, and support their fellow talent acquisition specialists and recruiters. Serving as a key resource, they assist department recruitment coordinators across campus, answering daily inquiries about search procedures and requirements and a variety of other issues. They're also called upon to engage with job candidates and new hires, providing them with guidance and support at varied times during the hiring process. Additionally, the Talent Acquisition Associate facilitates electronic job offers and supports initial onboarding requirements, navigating multi-step procedures based on position types and departmental needs. With a strong understanding of employment laws and policies, they educate internal clients on compliance, best practices, and efficient use of several elements of our hiring systems and procedures.

Level Scope:

Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision making. This level is typically focused on self-development. Requires theoretical knowledge through specific education and training.

Essential Functions:

70% of the time the Talent Acquisition Associate will:

● Share responsibility for the careful and consistent management of the University’s background checks using technology-driven processes and detailed procedures in alignment with laws and University policies.
● Deliver tailored HR support to meet staffing and recruitment needs of our campus customers, HR colleagues, campus faculty and staff, student employees, and job applicants.
● Perform “quality control” of the data and content in our recruitment requisitions, job postings and offer letters to ensure accuracy, compliance and efficiency.
● Support and collaborate with our talent acquisition specialists, consultants and recruiters on a variety of tasks, responsibilities and projects, both immediate and long-term.
● Provide coordination and support that is tailored to the type of position being recruited for (faculty, staff, student employees, adjuncts, and temporary non-benefit eligibles).
● Assist campus department with search procedures, hiring processes and requirements, applicant evaluation tasks, and policy explanations and interpretation.
● Respond to frequent daily inquiries via phone, email and chat from internal clients regarding hiring processes, systems, requirements, policies, and procedures.
● Deliver engaging, responsive, efficient and competent customer service that meets or exceeds the expectations of our campus customers and job applicants.
● Ensure compliance with employment laws, university policies, and state and federal regulations in all work functions.

20% of the time the Talent Acquisition Associate will:

● Facilitate the electronic job offer process in our applicant tracking and recruitment systems and ensure post-hire onboarding requirements are met.
● Educate and support our campus customers in their use of our recruitment and hiring technologies and web-based resources (job aids, instructions and other tools).
● Promote our employer brand (innovation, a thriving workplace) in our recruitment activities and interactions with internal customers and job candidates.
● Assist with and plan team participation in job fairs and other recruiting events.
● Assist team members with preparing for and delivering training programs to colleagues and campus customers.
● Contribute to the continuous improvement of systems, processes, and the resources we provide our campus customers in support of effective and efficient recruitment and hiring.

10% Other additional duties as assigned.

Knowledge, Skills, Abilities:

● Knowledge of basic recruitment practices, employment laws, and policies to ensure compliance and effective hiring.
● Ability to perform quality control on recruitment-related data, job postings, and offer letters to maintain accuracy and consistency.
● Skilled in delivering responsive, efficient, and helpful customer service and support to internal clients, job applicants, and campus departments, with a focus on exceeding expectations.
● Ability to clearly convey policies, procedures, and requirements to internal hiring managers.
● Knowledge of applicant tracking systems, recruitment technology, and web-based tools to facilitate electronic job offers and onboarding processes.
● Ability to work closely with talent acquisition specialists, recruiters, and campus departments on both immediate and long-term projects.
● Ability to tailor support and coordination efforts based on the specific requirements of different position types (faculty, staff, student employees, etc.).
● Ability to contribute ideas for enhancing recruitment systems, processes, and resources to better serve campus customers.
● Ability to exercise discretion and maintain strict confidentiality at all times and in all aspects of the work (information, communications, etc.).

Minimum Qualifications:

Bachelor's degree or equivalent work experience.

Preferred Qualifications:

● Demonstrated emotional intelligence and empathy and the dynamic ability to collaborate with, help and influence individuals with varied personalities, backgrounds, specializations, communication styles and roles within the organization.
● An understanding of how important it is to demonstrate an unwavering high level of integrity while building trust with everyone you interact with.
● Experience in human resources where hiring and recruitment was a primary area of responsibility.
● Experience using applicant tracking systems and related technology and tools.
● Experience with the State of Idaho classified recruitment and hiring policies and procedures.
● Good knowledge of state and federal laws, regulations, policies, and practices that guide human resource functions, such as Equal Employment Opportunity, Affirmative Action, FLSA, and FCRA.

Salary and Benefits:
 
Salary is $47,320/yr.
